As an Executive Assistant to the Head of Recruitment, you will ensure the smooth running of the entire team. Your Responsibilities:
- Process Coordination: Help streamline recruitment workflows, from organizing team meetings and brainstorms to preparing documents and reports for the team
- Systems Assistance: Support the management of ATS (Applicant Tracking System) tools by assisting with data entry, tracking candidates, and helping optimize system features
- Project Assistance: Participate in projects, such as supporting the referral program, organizing training sessions for hiring managers, and coordinating recruitment events
- Data & Reporting: Monitor recruitment metrics, compile reports, and assist in analyzing results to help identify areas for improvement
- Financial Tracking: Manage budgets for recruitment tools and resources, track expenses, and assist in preparing budget summaries
- Team Support: Provide additional support to the recruitment team during peak periods, assist in organizing knowledge-sharing sessions, and help implement feedback-based initiatives
You’ll be a great fit if you have:
- Recruitment Experience: Proven experience in a similar role, preferably in a recruitment or sourcing setting
- Organizational Skills: Strong ability to coordinate tasks, and keep track of multiple projects and deadlines
- ATS Experience: Familiarity with candidate management systems (e.g., Zoho Recruit) and the ability to learn new tools quickly
- Analytical Mindset: Basic skills in compiling and analyzing data, creating reports, and suggesting improvements
- Proactive and Innovative Approach: Eagerness to identify ways to improve workflows, assist with automation, and suggest new ideas
- Team Player: Willingness to assist and collaborate with team members, share knowledge, and help create a positive working environment
- Adaptability: Ability to quickly adapt to changes, handle unexpected situations, and adjust priorities as needed
